Do you have experience as a PA/ Executive Assistant?

Do you have experience within facilities?

Are you available to start a new role within a week or two?

We are currently looking for an Executive Assistant to cover a maternity leave for 9-12 months for a company based in Luton.

The role is mainly a support to the VP of procurement however the team are very collaborative and help across the board.

The main responsibilities of the Executive Assistant include:

  • Management of diaries
  • Liaising with stakeholders – sometimes globally at C-suite level
  • Liaise with other business areas including suppliers, customers and corporate.
  • Dealing with travel arrangements, including any required Visas
  • Prepare written documentation such as reports, presentations and letters
  • Organise leadership team meetings both on and off site
  • Manage ad hoc projects
  • Process expenses
  • Manage PDS system regarding salary reviews
  • Tracking sickness and holiday
  • Purchase stationary
  • Provide support across the wider team covering holiday and sickness leave
  • Prepare meeting agendas
  • Manage guests and maintain action logs for meetings
  • Source venues, organise logistics and communication for company-wide events
  • Co-ordinate visits

Ad hoc responsibilities:

  • Reception cover on occasion (when appropriate cover can’t be found)
  • Facilities support (logistics for ongoing site work, supplier liaison)
  • Venue sourcing, logistics and communications management for annual party
  • Manage vendor addition
  • Create POs

The role would suit someone who has:

  • Experience in a Facilities-related or similar supporting role.
  • Knowledge of the full Office Suite.
  • Excellent organisational skills and customer service mindset.
  • Is results driven.
  • Excellent communication skills across all levels.
  • Fluency in written and spoken English.

The role is paying up to £40,000 depending on experience and would require the successful candidate to be in the Luton office 4 days per week.
